Before any needle is drawn, every employee completes a consent form covering medical history, allergies and current medication. Our pharmacist brings the forms to site and each person completes theirs on the day. A pharmacist then screens each person individually, anyone for whom vaccination isn't appropriate is safely deferred, and you're only charged for vaccinations given.

Flu is one of the few causes of winter sickness you can vaccinate against. It costs employers twice: in sick days, and in people working through illness at well below their best. A workplace clinic gives every employee a quick, free way to protect themselves, without leaving the building.
The mechanics matter. Asking staff to book their own appointment and travel in their own time loses people at every step. When vaccination comes to the workplace, it takes a five-minute walk to a meeting room, and seeing colleagues take part encourages others.

Occupational health vaccination starts with the work and its risks. Our separate service covers hepatitis B, tetanus, MMR, varicella and hepatitis A where indicated, with antibody testing where appropriate. Bring your COSHH risk assessment and required programme dates to the conversation.
Registered pharmacists provide individual screening, consent, observation and aftercare. Individual clinical records stay with the pharmacy; your standard flu-clinic report contains aggregate uptake.
Practical answers for employers planning a clinic.
Can you come to our workplace to vaccinate our staff?
Yes. HYL Health provides on-site flu vaccination clinics for UK employers. Our pharmacists bring the vaccines, clinical equipment, paper consent forms and medical screening forms. Employees complete their forms with the pharmacy team on the day. We send a personalised employee FAQ for you to circulate beforehand.
How much does an on-site flu clinic cost?
We quote a half-day or full-day clinic fee plus a rate per vaccination, based on your team size, location and clinic arrangements. The clinic fee covers pharmacist attendance, travel to your workplace, clinic setup and temperature-controlled vaccine transport. You are invoiced for vaccinations administered. We have 15 employees. Can you run a clinic for us?
Clinics are usually most economical from around 15 people at one location. Smaller teams can enquire, but the per-person quote may be higher. Tell us your expected attendance and postcode; we return quotes within 24 hours.
How much time should each employee allow?
Allow around five minutes for the appointment, with any additional time for screening and observation advised by the pharmacist. An appointment is not immediate protection: the flu vaccine can take up to 14 days to work. See the NHS flu vaccine guidance.
How long would a clinic for 60 employees take?
A pharmacist vaccinates around 10 to 12 employees per hour, so one pharmacist covers around 40 people in a half day and 80 in a full day. For larger sites we send additional pharmacists rather than extending the day.
Which flu vaccine will you bring?
We provide a seasonal flu vaccine appropriate to the person following clinical screening. Ask us to confirm the product for your clinic as part of booking. Vaccines travel in validated cold-chain transport.
Can you cover night shifts or several UK sites?
Yes. We plan clinics around shift handovers, trading hours, site inductions and multiple locations. Tell us the sites and shift windows you need covered so that staffing, travel and dates are included in your written quote.
What if someone declines or is not suitable for vaccination?
Participation is voluntary. Our pharmacist screens each person individually and does not vaccinate anyone who declines or is clinically unsuitable. You are charged only for vaccinations administered. HR does not need to collect employees’ medical histories or reasons for declining.
What happens if someone has a reaction?
An anaphylaxis kit and a trained responder are present at every clinic. Each employee receives individual screening, observation and aftercare advice. Clinical incident records are managed by the pharmacy.
What information will HR receive afterwards?
We provide aggregate uptake reporting within 48 hours. Where an agreed workforce total is available, the report can include the participation percentage. The employer report does not include individual medical screening answers. Clinical records remain with the pharmacy; see our privacy policy.
How far ahead should we book?
Enquire as early as you can with your preferred dates, headcount and location. We quote within 24 hours and confirm available clinic dates against staffing and vaccine supply. Autumn planning should allow time for protection to develop and for staff communication.

Employer-provided and reimbursed seasonal flu vaccinations are covered by the statutory exemption from 6 April 2026 when its conditions are met. Salary-sacrifice arrangements are excluded.
