The clinic fee covers pharmacist attendance, travel to your workplace, clinic setup and temperature-controlled vaccine transport. Beyond 100 miles of central London, we run full-day clinics only, whatever your team size, and travel or overnight costs may be added to your quote. Clinics are most economical from around 15 people at one location; smaller teams are welcome, and may have a slightly higher per-person rate.
If 40 people register but only 27 are vaccinated, what do we pay?
You pay the clinic fee plus the 27 vaccinations given. The 13 who did not attend or were deferred on clinical grounds add nothing to the vaccination charge.
How the bill is worked out: the half-day or full-day clinic fee on your accepted quote, plus the per-vaccination rate multiplied by the number of vaccinations actually given. Nothing else is added.

What does hepatitis B or another occupational vaccination cost?
These programmes are quoted separately, itemised by doses, visits and any antibody testing. Tell us the roles and exposures involved; please do not send employees’ medical histories through the quote form. See occupational health vaccination.
Are employer-funded flu vaccinations tax-exempt?
Qualifying employer-provided and reimbursed seasonal flu vaccinations are exempt from Income Tax and National Insurance from 6 April 2026. Salary-sacrifice arrangements are excluded. Read our tax and benefits guide and confirm your scheme with payroll.

We have 15 people in one London office, what would the total cost be?
It is the half-day clinic fee plus your per-vaccination rate for each person actually vaccinated. Send your headcount and London postcode and we will confirm the rate within 24 hours.
What would a workplace flu clinic cost for 30, 50 or 100 employees?
The per-person rate falls as headcount rises, so larger teams pay less per jab. Tell us the numbers at each address and we will quote all three scenarios if that helps your budget.
What is included in the price?
Everything: the vaccine, a registered pharmacist, cold-chain transport, screening and paper consent, clinical equipment, observation and aftercare, a personalised employee FAQ and an uptake report within 48 hours.
How is our rate worked out?
From the number likely to attend at each address, the sessions needed and the location. Your written quote shows the clinic fee and the rate per vaccination, so there are no surprises on the invoice.
Does the price come down with the number booked or the number actually vaccinated?
Your rate is set on the expected attendance in your quote. You are then billed only for the number actually vaccinated. If expected numbers change significantly before the clinic, tell us and we will confirm the rate.
Is there a clinic fee, and what does it cover?
Your quote has two parts: a half-day or full-day clinic fee, which covers pharmacist attendance, travel, setup and temperature-controlled vaccine transport, and a rate per vaccination given. Nothing else is added.

Are staff who decline, do not attend or are medically deferred excluded from the bill?
Yes. You only pay for vaccinations given. Cancelling the whole clinic at short notice is covered separately in our terms.
We have fewer than 15 staff, can we still book, and how would the price change?
Yes, you can. Clinics are most economical from around 15 people, so a smaller group may have a slightly higher per-person rate. Joining up with a neighbouring office is a good way to bring it down.
Agreeing the booking
What information do you need from me to provide a workplace vaccination quote?
Address or postcode, expected attendance, preferred dates and any shift patterns. If your finance team needs a purchase order or supplier forms, include those details too.
Can you send a written quote within 24 hours, and does that mean working hours or calendar hours?
We reply to every enquiry within 24 hours. If you have a tight procurement deadline, mention it and we will prioritise your quote.
How long is the quote valid, and when is the clinic date actually reserved?
Quotes are valid for 30 days. Your clinic date is reserved once you accept the quote and we send written booking confirmation.
Do we pay a deposit or booking fee, and is it additional to the final vaccination bill?
Your written quote states whether a deposit applies, the amount, and how it is credited against your final invoice.
When do we pay, and what are your invoice payment terms?
Your quote sets out the payment terms, method and due date, so finance can approve it with everything in front of them.
Can you accept a purchase order and complete our supplier onboarding forms?
Yes. Send your purchase order and onboarding requirements with your enquiry and we will complete them before the clinic.
Can you invoice each company, cost centre or site separately?
Yes. Give us the legal entities, cost centres or sites and billing contacts before the clinic, and we will invoice them separately.
How late can we change our expected headcount without changing the agreed price?
Let us know of any big change as early as possible, ideally a week before. Small changes on the day do not matter, because you are billed only for vaccinations given.
What are the cancellation, postponement and refund terms?
You can postpone or cancel free of charge with at least 14 days’ notice. Later cancellations may incur a fee, which is stated in your quote.
If your pharmacist cannot attend or vaccine supply changes, what happens to our booking and any money paid?
We will contact you straight away and offer a new date at no extra cost. Any money you have paid is credited or refunded if a replacement date does not suit you.
