What evidence should procurement request?

Ask us for the documents your supplier approval process needs before accepting a booking. These may include:

  • Current professional indemnity and public liability insurance certificates.
  • Registration and relevant training evidence for the attending team.
  • The cold-chain and off-site clinic procedures relevant to your booking.
  • Emergency arrangements, clinical waste handling and site responsibilities.

Who controls clinical records?

The pharmacy holds the individual clinical records. The standard employer flu-clinic report contains aggregate uptake, not medical histories or screening answers. For occupational health programmes, agree any necessary individual reporting and confidentiality arrangements before the programme starts. How do I check that a workplace flu vaccination provider is legitimate?

Check the pharmacy and attending professional on their regulators’ registers, then review the proposed clinical service, insurance and written terms. A professional-looking website or registration number alone is not the full procurement check.

Will the person attending our office be a registered pharmacist, and how can we check?

HYL’s service is delivered by registered pharmacists. Ask for the attending clinician’s name and registration details in advance if your onboarding process requires them, then check the relevant register.

What vaccination, basic life support and anaphylaxis training should the clinician have?

Ask for evidence of current competence in vaccination, basic life support and anaphylaxis management appropriate to the service. Confirm who will respond to an emergency and how the site team will assist.

Can you provide current professional indemnity and public liability insurance evidence?

Request current insurance documents and confirmation that their scope includes the proposed off-site service. Do not treat a general statement of insurance as evidence of a particular limit, renewal date or covered activity.

Do you use your own pharmacists or subcontractors, and who is accountable either way?

Ask the booking team to identify the provider responsible for delivery and explain any locum or subcontracted staffing. Confirm clinical accountability, records handling and complaint contacts irrespective of the employment arrangement.

What should I compare when two providers quote very different prices?

Compare the vaccine and age suitability, registered clinicians, staffing, cold-chain and emergency arrangements, inclusions, cancellation terms and billing basis. Ask what each provider will actually deliver at your site for the quoted amount.

Can we speak to an employer you have vaccinated or read a genuine client case study?

Ask HYL whether a relevant reference can be shared with the client’s permission. A case study should identify the service and verifiable facts; sector information on this site is not a claim that a named organisation is a client.

Can you send a procurement pack covering registration, insurance, privacy, service terms and clinical governance?

Send your procurement checklist with your enquiry. Request registration details, current insurance evidence, applicable clinical authorisation, privacy information and service terms; identify any missing evidence before completing approval.

Clinical arrangements to confirm

Which flu vaccine will you use for our clinic this season?

Ask HYL to confirm the exact seasonal vaccine and product information for your booking. The site does not guarantee one brand for every clinic; product suitability and available stock must be confirmed by the pharmacy.

Is the vaccine appropriate for employees of different ages, including those over 65?

Age affects product choice and recommendations. Flag a mixed-age workforce, including staff aged 65 or over, during planning so the pharmacy can assess suitable provision; HR should not select a clinical product for an individual.

Is the vaccine trivalent or quadrivalent this year, and why does that matter?

The England 2026/27 programme letter lists trivalent preferred vaccines. Trivalent and quadrivalent refer to the number of influenza components; more components is not by itself a reason to choose a product. Confirm the actual product for this private clinic.

How are vaccines transported and kept at the required temperature?

HYL brings vaccines in validated cold-chain transport. Ask for the handling arrangements covering dispatch, travel and the clinic, and ensure the room and access plan allow the pharmacy to maintain the required storage conditions.

What happens if a temperature excursion is detected before our clinic?

Stock affected by a temperature excursion needs to be isolated and assessed through the pharmacy’s procedures before use. Ask how any resulting delay or replacement requirement will be communicated to your organiser.

How do you screen employees for contraindications, allergies and precautions?

Each employee completes paper medical-screening and consent forms directly with the pharmacy team on the day. The pharmacist reviews relevant history and decides whether vaccination can proceed; managers do not make clinical eligibility decisions.

What emergency equipment and trained responders will be present?

An anaphylaxis kit and a trained responder are present at every HYL clinic. Agree emergency access, the site address and the local contact before the session so the team can summon assistance promptly.

What happens if an employee faints or has a severe allergic reaction?

The clinician assesses the employee and initiates the appropriate response, including emergency treatment and ambulance assistance when needed. The employer supports site access and workplace emergency procedures, while clinical records remain with the pharmacy.

How long does the appointment take, and is any observation time additional?

The usual appointment is around five minutes, with additional screening or observation as advised by the pharmacist. Staff with questions or support needs may take longer; do not use a standard slot to curtail clinical assessment.

Who manages sharps, clinical waste, batch traceability and any later vaccine recall?

The pharmacy manages clinical waste arrangements and clinical records, including vaccine traceability. Confirm the recall contact route before the session; employers should not create their own medical batch register for individual staff.
