Planning a flu clinic around a production day

A crew list is a useful starting point, but it is not a clinic timetable. The practical question is which people will be at the same location and able to leave their roles during a confirmed window.

Build the brief around one location

List expected attendance at the studio or unit base rather than using the production’s total headcount. Identify a room that can remain private while the clinic runs, including screening and observation. Check vehicle access and any site induction before suggesting a start time.

Give someone ownership of schedule changes

Nominate a production coordinator who can update HYL if calls or locations move. Agree when the final estimate is needed and how a postponement affects the booking. Include the person who authorises any change in cost or session length.

Release departments in small groups

A hypothetical plan might offer separate windows to production-office staff, technical departments and cast, subject to the actual work schedule. This is a planning example, not a prescribed timetable or a claim about a past HYL production. The pharmacy must confirm staffing and clinical time.

Keep invitations separate from medical decisions

Clarify which freelance and employed groups the production funds. Let the pharmacist handle screening and consent directly, and do not ask department heads to collect reasons for refusing. A call sheet or production group chat is not an appropriate place for health information.

Before the first invitation goes out

• Confirm the date, room and clinic capacity.
• Agree eligible groups and the vaccination rate.
• Share the personalised employee FAQ.
• Give attendees a private route for clinical questions.
