Choosing a route for your workforce

Should we book an on-site flu clinic or give employees pharmacy vouchers?

An on-site clinic suits teams who gather at one workplace; vouchers can suit a widely spread workforce. Many employers do both. HYL provides the on-site clinic.

Which option creates less HR administration: an office clinic, vouchers or reimbursement?

An on-site clinic needs a room and a timetable, and we supply the staff communications. Vouchers need distributing and tracking, and reimbursement means processing receipts.

At what team size does an on-site clinic become more practical than sending people to a pharmacy?

Our clinics are usually most economical from around 15 people at one location. Below that, a clinic can still make sense once you count the time saved on travel and appointments.

We have 60 office staff and 20 remote workers, how should we cover both groups fairly?

Invite the 60 to a clinic on a busy office day, and give the 20 remote staff a clearly funded alternative, such as reimbursing a local pharmacy jab.

Can we combine an on-site clinic with an alternative for people who cannot attend?

Yes. Many employers run an on-site clinic and offer an alternative for anyone who cannot attend. Tell staff how each route works so nobody is vaccinated twice.

Do you actually provide vouchers, or would we need a separate supplier?

We do not offer vouchers. If you want vouchers for remote staff, a separate supplier can provide them alongside our on-site clinic.

If an employee is eligible for a free NHS flu jab, should they still use our company clinic?

Staff eligible for a free NHS jab can use either route. Make clear in your communications that the company clinic is employer-funded.

Can NHS-eligible and privately funded employees be vaccinated at the same workplace session, and who pays?

Our workplace clinics are privately funded by the employer. Staff who prefer to use their NHS entitlement can book that separately.

What happens if someone has already had their flu vaccination elsewhere this season?

They do not need another dose this season. They should tell our pharmacist if they are unsure.

How do unused vouchers, no-shows and travel time affect the total cost of each option?

With HYL, you pay only for vaccinations actually given, so no-shows cost nothing. With vouchers, check whether you pay on purchase or on use. Either way, factor in staff travel and time away from work.
