Flu vaccination for office, hybrid and remote teams
Compare on-site clinics, independently sourced vouchers, reimbursement and NHS routes without leaving remote colleagues out.
Choosing a route for your workforce
Should we book an on-site flu clinic or give employees pharmacy vouchers?
An on-site clinic suits a group gathering at one workplace; vouchers may suit a dispersed workforce with convenient participating pharmacies. Compare practical access and total cost, not only the headline price. HYL supplies the on-site option.
Which option creates less HR administration: an office clinic, vouchers or reimbursement?
A clinic needs a room, scheduling and communications. Vouchers require distribution and redemption tracking; reimbursement requires receipts and expense processing. The easiest route depends on your existing systems and where people work.
At what team size does an on-site clinic become more practical than sending people to a pharmacy?
HYL clinics are generally most economical from around 15 attendees at one location. Practicality also depends on release time, travel and room access; there is no universal headcount at which vouchers become more expensive.
We have 60 office staff and 20 remote workers, how should we cover both groups fairly?
Invite the office group to a suitable clinic day and design a separate, clearly funded route for remote colleagues. Explain equivalent access, eligibility and spending limits; a workplace appointment should not require an unnecessary long journey.
Can we combine an on-site clinic with an alternative for people who cannot attend?
Yes, an employer can plan different routes for different working patterns. Confirm the alternative supplier and payroll treatment yourself and tell staff how to avoid booking twice. HYL’s quote covers only its agreed service.
Do you actually provide vouchers, or would we need a separate supplier?
HYL does not offer a flu-voucher product on this website. If you want vouchers, arrange them through a separate supplier and check participating pharmacies, expiry dates, refunds and eligibility.
If an employee is eligible for a free NHS flu jab, should they still use our company clinic?
Employees who qualify for NHS vaccination can use that route. Participation in the company clinic remains voluntary and clinically assessed; make clear whether the employer pays so staff do not assume this private booking is NHS-funded.
Can NHS-eligible and privately funded employees be vaccinated at the same workplace session, and who pays?
Do not assume a workplace session automatically mixes NHS and private funding. HYL’s advertised employer clinic is privately funded; any different commissioning and billing arrangement would need explicit confirmation before booking.
What happens if someone has already had their flu vaccination elsewhere this season?
Ask the employee to tell the pharmacist when and where they were vaccinated. Do not arrange a routine duplicate dose merely to count them in the company programme; the clinician decides whether anything further is appropriate.
How do unused vouchers, no-shows and travel time affect the total cost of each option?
For vouchers, check whether payment follows purchase or redemption and what happens to unused codes. For HYL, vaccination billing follows administered doses. Include employee travel, expense processing and time away from work in a fair comparison.
