Before your workplace flu vaccination
Information for employees attending an employer-arranged clinic, with clinical questions to discuss privately with the pharmacist.
Employee eligibility and questions
Can we include agency workers, contractors, apprentices and temporary staff?
Tell HYL which groups you want to fund, including agency workers, contractors and temporary staff. The employer decides the funding policy; the pharmacy confirms clinical and service eligibility for each attendee.
Can employees under 18 attend, or is your workplace service adults only?
Do not include under-18s automatically. Confirm the service’s age limits and the vaccine and consent arrangements before inviting apprentices or other younger employees; a product’s licence alone does not define this workplace service’s scope.
Can family members or employees from neighbouring businesses join our clinic?
Ask before inviting family members or another employer’s staff. Funding, age eligibility, site access and service scope must be agreed; an employee clinic is not automatically an open public vaccination session.
What should pregnant or breastfeeding employees do before booking?
Pregnant or breastfeeding employees should discuss their circumstances directly with the pharmacist. Pregnancy is an important reason to seek appropriate flu-vaccination advice, but product and timing decisions belong to the clinician.
Can employees with egg allergy, previous vaccine reactions or other allergies use the service?
Ask the employee to disclose the allergy and any previous reaction directly to the pharmacist before vaccination. Suitability depends on the reaction and proposed product; HR should not issue a blanket approval or exclusion.
What should staff taking anticoagulants or immunosuppressive medicines tell the pharmacist?
Employees should tell the pharmacist about these medicines and relevant conditions. Do not advise them to stop prescribed treatment to attend a workplace clinic; the clinician determines any precautions and timing.
Can someone with a cold, fever or recent infection still be vaccinated?
Tell the pharmacist about current symptoms and recent illness. The clinician will decide whether to proceed or defer; HR should not use a sign-up form to diagnose illness or promise that every cold rules vaccination out.
Can an employee have a flu jab near the time of another vaccination?
Employees should tell the pharmacist which other vaccine they have had or are due to receive and when. The advice depends on the specific products and individual circumstances; do not assume a universal waiting interval.
What should we tell employees who cannot remember whether they have already had this season's flu jab?
Ask them to check available records and discuss uncertainty with the pharmacist. Do not arrange an extra dose simply because HR has no record of vaccination elsewhere.
Can employees discuss a confidential clinical concern before the clinic day?
Yes, employees can contact HYL to ask how to discuss a concern privately before the session. Use a secure route agreed with the pharmacy for detailed health information rather than copying it into the employer’s group email.
